Client Capture Process
This document outlines the client capture process. This process includes the creation of all the necessary accounts and placeholders for a potential customer. This process is to be executed by the BLT operations staff.
The primary objectives of this document are to:
Provide instructions on what accounts/projects/tasks should be created to track efforts taken by the team to win the potential customer’s business.
Describe what placeholders should be created in order to store records associated with potential clients.
Assigning Project Codes
Create a new project code for the potential customer. Go to the Project Numbers spreadsheet and add a new row below. Use the following guidelines to following fields:
- Leave the End Date blank
- Set Billing Type to overhead
- Leave Project Type blank
- BLT PM - Casey
- Client should provide PM contacts
- Set Status to Pending
Google Drive Folder Creation
Create a Google Drive folder under the Programs folder for the potential client. Provide edit permissions to all BLT-Dev, BLT-Exec, and BLT-Ops Google groups.
Slack
Create a Slack channel for internal discussions related to the potential client. For example: #init-opportunities-vmd. Then make it private. Invite BLT executives and stakeholders to the channel.
Asana
Create a new team/client in Asana and invite the appropriate members to the team.
New Project
Create a new project under the new team to track tasks and hours associated with the capture process. Use the project number from the spreadsheet and then add the name of the project as the title. For example: ###P - Clients Capture.
Project Billing
Leave the project as unbillable.
